2. Data we collect and processing purposes
PixUP Web Business SL processes the personal data that the User voluntarily provides through the forms enabled on the website. The categories of data and their purposes are as follows:
2.1. Contact form and pre-study request form
- Data processed: full name, company, job title, corporate email, telephone number, business sector, website URL, platform or CMS, estimated catalogue or portfolio volume, languages, team data, ERP integration, business turnover, and any additional information provided in the open fields.
- Purpose: to manage the initial pre-study request on the feasibility of implementing Vanadian COAS, to prepare the preliminary SEO/GEO report and to maintain the business relationship.
- Legal basis: the data subject's consent (Art. 6.1.a GDPR) and pre-contractual measures (Art. 6.1.b GDPR).
2.2. Demo request form
- Data processed: name, job title, company, email, telephone number, website URL, CMS, catalogue or portfolio volume, sector, languages, team, ERP integration, business turnover, reason for enquiry, time availability (time slots and days), urgency indicator and comments.
- Purpose: to coordinate and manage the request for a demonstration of the Vanadian semantic engine.
- Legal basis: the data subject's consent and pre-contractual measures.
2.3. Commercial communications
- Data processed: those provided in the form, plus the email address for sending communications.
- Purpose: to send commercial communications related to Vanadian and the services of PixUP Web Business SL, provided that the User has given express consent via the corresponding checkbox.
- Legal basis: the data subject's consent (Art. 6.1.a GDPR).
- Withdrawal: the User may withdraw this consent at any time by sending a written communication with the subject line "Unsubscribe" to comercial@vanadian.io.
3. Data retention
Data will be retained for as long as necessary to fulfil the purpose for which it was collected and to determine any liabilities that may arise from that purpose and from the processing. Filing and documentation regulations will apply. Financial data will be retained in accordance with the provisions of Law 58/2003, of 17 December, General Tax Law.
When the data are no longer necessary for the purpose of the processing, they will be deleted using appropriate security measures to ensure the pseudonymisation of the data or its total destruction.
4. Data recipients
The personal data provided will not be disclosed to third parties, except where legally required. The data are hosted on European servers in Barcelona under the technical management of PixUP Web Business SL. The infrastructure is recognised by the Green Web Foundation and operates on 100% renewable energy certified by the CNMC.
The processing of generative content by Vanadian COAS may involve sending data to external AI services (providers such as OpenAI or Claude). For more information, see the AI Use Policy.
5. Data subject rights
The User may exercise the following rights at any time:
- Access to the personal data concerning them.
- Rectification of inaccurate or incomplete data.
- Erasure of data when, among other reasons, it is no longer necessary for the purposes for which it was collected.
- Objection to the processing of their data.
- Restriction of processing in certain circumstances.
- Portability of data in a structured, commonly used format.
- Withdrawal of consent given, at any time.
To exercise these rights, the User may write to the postal address indicated in section 1, or send an email to comercial@vanadian.io, stating their personal details and the specific right they wish to exercise.
The User also has the right to lodge a complaint with the Spanish Data Protection Agency (www.aepd.es) if they consider that the processing of their data does not comply with current regulations.
6. Accuracy of data
The User states that the information and data they provide are accurate, up to date and truthful. In the event of any change, please notify us immediately so that the information being processed is kept up to date at all times and free of errors.
The User shall be solely responsible for any false or inaccurate statements they make and for any damage caused to the provider or third parties as a result of the information they provide.
7. Security measures
PixUP Web Business SL adopts the technical and organisational measures necessary to guarantee the security of personal data and to prevent its alteration, loss, unauthorised processing or access, in accordance with Regulation (EU) 2016/679 (GDPR). These measures include hosting on secure European servers, the use of encrypted protocols (HTTPS), regular backups and access controls.
8. LSSI and commercial communications
In accordance with Law 34/2002 (LSSICE), PixUP Web Business SL does not engage in SPAM practices and therefore does not send commercial emails that have not been previously requested or authorised by the User.
9. Policy amendments
PixUP Web Business SL reserves the right to amend this Privacy Policy to bring it into line with legislative or case-law developments. Any such changes will be duly communicated via the website. In the event of substantial changes, users will be asked to give new consent.
